Administrative Assistant (DSCC)

The Administrative Assistant shares in all clerical and administrative support functions of the Designation and Sentence Computation Center (DSCC). Establishes files/records and filing systems for inmate records; maintains staff personnel records information, particularly time and attendance records; Designation and Sentence Computation Center (DSCC) mail processing to include receipt and delivery; and normal office management administrative support functions. Prepares and updates office calendar and maintains schedules for classrooms and conferences. Maintains and monitors the office staff calendars and coordinates appointments, meetings, training, travel, and other activities as assigned by the supervisor. Processes training requests and official travel for staff in accordance with all applicable federal regulations and is responsible for staff time and attendance records including time keeping and time keying. Drafts minutes at conferences and meetings, and prepares meeting minutes in final format. Electronically scans file information relative to sentence computation, developing and maintaining protocols for file naming and storage. Ensures official documents received are verified, copied or scanned, and forwarded to appropriate staff for review and if necessary, action. To be considered for the position, you must meet the following qualification requirements. Education:
As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.
Experience:
You must have at least one year of specialized experience equivalent in difficulty and complexity to the next lower grade level in federal service. To be creditable, this experience must have equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and must typically be in or related to the position to be filled. Some examples of this qualifying experience are:
Experience in answering telephones, and responding to routine written inquiries from members of the general public, inmates attorneys and families, and many other officials. Experience in creating and maintaining electronic files on all designated offenders committed to the custody of the Bureau of Prisons to include collecting and analyzing information on pre-sentence custody, making preliminary determinations of eligibility for jail credits to be applied to respective terms of imprisonment. Experience in managing and administering Time and Attendance program. Experience in preparing office calendar, maintain schedules and drafting meeting and conference minutes. Credit will be given for paid and unpaid experience. To receive proper credit, you must show the actual time (such as the number of hours worked per week) spent in activities. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
